ENVIRONMENT AND ECOLOGY BUREAU

Assistant Office Manager [Salary: HK$40,620 per month]

Entry Requirements: Applicants should: –
(a) have a bachelor’s degree from a university in Hong Kong, or equivalent;
(b) have at least 3 years of full-time post-qualification work experience in government or public organisations, with experience in coordinating and processing event invitations to/events attended by seniors and office administration is preferable;
(c) have met the language proficiency requirement of Level 3 or above in English Language and Chinese Language in the Hong Kong Diploma of Secondary Education Examination (HKDSEE) or the Hong Kong Certificate of Education Examination (HKCEE), or equivalent (See Note);
(d) have a good command of both Chinese and English;
(e) have good communication and interpersonal skills; and
(f) have good proficiency in the application of common business software (including MS Word, Excel and PowerPoint) as well as Chinese and English word processing.
(Note:"Grade C" in Chinese Language and English Language (Syllabus B) in the HKCEE before 2007 are accepted administratively as comparable to "Level 3" in Chinese Language and English Language in the 2007 HKCEE and henceforth.)

Duties:
(a) To provide logistics, liaison and coordination support for events and meetings attended by seniors;
(b) To handle event and meeting invitations to seniors, including liaison with internal and external parties, managing diaries and preparing replies, etc.;
(c) To coordinate and prepare event/meeting folders for seniors;
(d) To assist in handling correspondences such as public enquiries and complaints;
(e) To assist in overseeing general administrative duties such as collating returns and handling procurement and personnel matters; and
(f) To perform any other duties assigned by seniors.

Other Job-related Requirements:  The hours and venues of work may be varied having regard to the operational needs of the bureau.

Terms of Appointment:  Successful candidate will be employed on non-civil service contract terms for a period of 24 months. Renewal of contract will be subject to the service need and the performance of the candidate.

Fringe Benefits:  14 days paid annual leave will be granted to the successful candidate. The eligibility for rest days, statutory holidays (or substitute holidays), maternity/paternity leave and sickness allowance, where appropriate, is in line with those provided for under the Employment Ordinance. A gratuity may be granted at the end of the contract period if the contract is satisfactorily completed with consistently high standard of performance and conduct. Such gratuity, if granted, plus any contribution made by the Government to a Mandatory Provident Fund (MPF) Scheme in respect of the appointee as required by the MPF Schemes Ordinance, will be equal to 10% of the total basic salary received during the contract period.
